Martin Insurance Group is committed to protecting the privacy of the personal information you share with us. This policy explains what information we collect, how we use and share it, how we protect it, and the rights you have regarding your information. It applies to all clients and prospective clients of Martin Insurance Group across our personal lines, commercial lines, health, and group benefits services.

1. Information We Collect

To provide insurance services, we collect personal information directly from you, from insurance carriers, and from other sources involved in placing and servicing your coverage.

From you

  • Name, date of birth, and government ID numbers, including Social Security numbers
  • Contact information - address, email, phone
  • Property and vehicle details
  • Financial information relevant to underwriting
  • Claims and incident details
  • Health information, where relevant to your coverage

From other sources

  • Insurance carriers - policy and underwriting details
  • Credit bureaus - insurance scoring information
  • Motor vehicle departments - driving records
  • Prior insurers - claims and coverage history
  • Public records relevant to underwriting

2. How We Use Your Information

We use your information only to provide the insurance services you have requested. This includes:

  • Evaluating applications and obtaining quotes from carriers on your behalf
  • Placing, servicing, and renewing your insurance policies
  • Assisting with claims and responding to your questions
  • Communicating with you about your coverage and renewals
  • Meeting our legal and regulatory obligations as a licensed Colorado insurance producer
  • Detecting and preventing fraud or misrepresentation
We do not sell your personal information. We do not use your information for targeted advertising, and we do not process it for purposes unrelated to your insurance needs without your consent.

3. How We Share Your Information

We share your information only as necessary to provide insurance services or as required by law:

  • Insurance carriers and underwriters - to obtain quotes and place your coverage
  • Service providers - technology and communication vendors bound by confidentiality obligations
  • Regulators - the Colorado Division of Insurance and other authorities, when required
  • Legal process - in response to a court order, subpoena, or as otherwise required by law
  • With your consent - any other sharing requires your explicit authorization

4. Text Messaging and Mobile Information

We use text messaging to communicate with clients and prospective clients about quotes, policy servicing, renewals, claims, enrollment periods, document requests, and appointment scheduling. You are never required to accept text messages in order to buy insurance from us.

We collect your mobile phone number when you give it to us on an application, quote request, service form, or website form, when you provide it to a member of our staff, or when you text us first. We use it to communicate with you about your coverage and your requests.

We do not share mobile information with third parties for marketing. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third party. Information may be shared with the vendors that operate our messaging and agency management platforms solely so those services can function, and those vendors are bound by confidentiality obligations.

5. Health Information

When you obtain health insurance, life insurance, or group benefits through us, we may collect health-related information necessary to assist with your application, enrollment, or claims. We handle this information consistent with the privacy protections established under the Health Insurance Portability and Accountability Act (HIPAA).

6. How We Protect Your Information

We maintain a written information security program, as required under the federal Safeguards Rule, that includes administrative, technical, and physical safeguards appropriate to our business. These include:

Technical safeguards

  • Enterprise-grade cloud infrastructure with independently audited security certifications
  • Encryption of data in transit and at rest
  • Encrypted storage on all company devices

Administrative safeguards

  • Multi-factor authentication and role-based access controls
  • Endpoint security and threat monitoring on all company devices
  • Ongoing employee training on data privacy and handling

7. Your Privacy Rights

As our client, you have the following rights regarding the personal information we hold about you:

  1. Know & Access - Request a description of, and access to, the personal information we hold about you.
  2. Correct - Ask us to correct inaccurate or incomplete information.
  3. Delete - Request deletion of your information, subject to records we are required by law to retain.
  4. Opt Out - Opt out of any sale of your data or its use for targeted advertising. We do neither of these as a matter of policy.
  5. Appeal - If we decline a request, you may appeal our decision using the contact information below, and may also contact the Colorado Attorney General's office.

To exercise any of these rights, contact us using the information in Section 11. We may need to verify your identity before fulfilling your request, and we will respond within the time required by applicable law.

8. Sensitive Information

Some of the information we collect - such as Social Security numbers, financial account details, or health information - is considered sensitive under Colorado and federal law. We collect this information only when it is necessary for your insurance transaction, and we apply additional security safeguards to protect it.

By submitting sensitive information to us, whether through a form, email, phone call, or in person, you consent to our collection and use of that information as described in this policy. You may withdraw consent at any time by contacting us, subject to our legal and contractual obligations.

9. Data Retention

We retain your personal information for as long as necessary to provide your insurance services and meet our legal obligations. Colorado insurance regulations require licensed producers to retain certain client records for a minimum of five years. When information is no longer needed and retention is not required by law, we securely dispose of it.

10. Changes to This Policy

We provide this privacy notice when we establish a relationship with you and annually thereafter, in accordance with the Gramm-Leach-Bliley Act and Colorado insurance regulations. We may update this policy from time to time to reflect changes in our practices or in applicable law. Material changes will be communicated as required by law. The current version of this policy is always available on this page.
